Volunteer Mobile Application
This Privacy Policy applies to the Volunteer mobile application (Package ID:
client.prod.advance.id215), developed and operated by TrialX Inc..
TrialX provides clinical trial recruitment and patient engagement platforms. This policy supplements the general TrialX Parent Company Privacy Policy by describing data processing specific to the Volunteer Android app. Where this document and the parent policy differ, the parent policy controls for company-wide practices, and this document describes how the mobile app collects and uses data.
The Volunteer app lets registered users sign in, view matching clinical trials, search studies, review contacted/referred trials, connect Electronic Health Records (EHR), and receive messages and push notifications. Account creation and volunteer profile registration occur on the TrialX web platform before the app can be used.
Users sign in by entering their registered email address. The app requests a one-time passcode that is emailed to that address. After the passcode is verified, the app receives and stores session information locally, which may include your first name, last name, email, volunteer ID, and an access token.
No password is created in the app, and new account sign-up is not offered inside the app. If your email is not already associated with a Volunteer account, login will fail until you register on the TrialX web platform.
After login, the app shows a dashboard of matching clinical trials based on your pre-registered Volunteer profile. You can open trial details in an authenticated WebView and search studies through an authenticated TrialX search WebView.
Search and trial-detail pages may process information you enter on those web screens (for example, search keywords or interest/contact forms). That processing is handled by TrialX web services under the parent privacy policy and any disclosures shown on those screens.
The app can display trials you have already contacted or been referred to, including referral status, by retrieving that information from TrialX servers using your authenticated session.
The Volunteer Android app does not present a native form that collects first name, last name, email, or phone number for referrals. Any contact or referral details you submit are collected through authenticated TrialX web pages opened inside the app (WebView) or through your existing Volunteer account on the web.
The EHR tab opens TrialX SmartEHR in an authenticated WebView. With your authorization on that screen, you may link a health provider account and share relevant medical information to support trial matching and evaluation. Health information accessed through SmartEHR is processed according to the disclosures and consents presented in that flow and the parent privacy policy.
The app can show in-app notifications/messages related to your trials and account.
For push delivery, the app uses Firebase Cloud Messaging (FCM). After a successful
login, the app may register your device with TrialX by sending your FCM device
token, platform (android), timezone, and an active status flag. On Android
13+, the app may ask for notification permission.

Depending on device OS version and features available in a given build, the app may request or declare access to capabilities such as notifications, internet connectivity, storage, camera, microphone, phone dialer, location, and health/fitness integrations. These are used only when you use a related feature or grant permission. You can revoke most permissions in your device system settings.
Your information is processed for the following purposes:
No Commercial Sale of Data: TrialX does not sell, rent, or trade your personal information or health records to third-party advertisers. Additional sharing practices (subprocessors, sponsors, legal requests, and business transfers) are described in the parent privacy policy.
Depending on your location (including EEA/UK and California residents), you may have additional rights described in the parent privacy policy.
Consistent with the parent policy, we do not knowingly collect personal information from individuals under the age of 16 through the Volunteer app. If you believe we have collected such information, contact MyData@trialx.com so we can take appropriate action.
We may update this Privacy Policy to reflect changes in app functionality or legal requirements. Updates will be posted on this page with a revised effective date. Significant changes may also be communicated through the app or other reasonable means.
